About the Role
A project-driven organization is seeking a Payroll & Accounts Receivable Specialist to join their onsite finance team. This role is ideal for someone who thrives in a fast-paced environment, is meticulous with numbers, and has solid experience handling project billing, payroll processing, and A/R functions. The right candidate will be extremely detail-oriented, organized, and comfortable juggling multiple deadlines while maintaining the highest level of accuracy and confidentiality.
Key Responsibilities
Set up billing folders and enter new projects into the billing calendar
Schedule draft billing dates based on contract terms
Maintain and update the monthly billing calendar for active jobs
Prepare billings for approval and submit completed invoices
Review active projects monthly for retention billing
Respond to internal and external billing, documentation, and collections inquiries
Process payroll accurately and on time using QuickBooks
Ensure correct payroll taxes, deductions, and PTO processing
Assist with collections and follow-up on outstanding invoices
Accurately review, track, and process employee expense reports
Handle confidential information discreetly and professionally
Requirements
Minimum 3 years of hands-on QuickBooks experience (A/R, A/P, and Payroll required)
Strong Accounts Receivable background
Solid understanding of payroll taxes, deductions, and PTO tracking
Advanced Excel skills (pivot tables, reporting, data analysis)
High accuracy with numbers; ability to follow clear policies without exceptions
Strong organization, follow-through, and multitasking abilities
Ability to work independently and in a collaborative team environment
100% onsite availability — no remote or hybrid options
Bachelor’s degree in Accounting or related field preferred (not required)
Experience in engineering, architectural, or project-based industries is a plus
