Part-Time Construction Accounts Payable Specialist

Are you an experienced Construction Accounts Payable professional who understands the fast-paced demands of the construction industry? We are seeking a detail-oriented Part-Time Construction Accounts Payable Specialist with extensive hands-on experience managing AP processes specifically within construction, subcontractor billing, lien waivers, and job cost coding.

In this role, you’ll play a critical part in keeping projects financially organized, vendors paid accurately, and compliance on track.

Key Responsibilities:
Process high-volume accounts payable invoices for construction projects
Review and match purchase orders, invoices, and receiving documents
Manage subcontractor invoices, lien waivers, W-9s, and compliance documentation
Code invoices accurately by job cost, phase, and GL account
Reconcile vendor statements and resolve discrepancies quickly
Coordinate with project managers, vendors, and subcontractors regarding payment schedules
Support monthly close, AP reporting, and audit preparation
Maintain organized records for multiple active projects
Qualifications:
3+ years of construction-specific accounts payable experience REQUIRED
Strong understanding of subcontractor billing, progress payments, retention, and lien releases
Experience with job costing and construction accounting systems
Familiarity with ERP/accounting software such as Sage, Viewpoint, Foundation, or QuickBooks
Excellent attention to detail and accuracy
Ability to manage deadlines in a high-volume environment
Strong communication and organizational skills
Preferred:
Experience supporting general contractors, subcontractors, or commercial/residential builders
Knowledge of prevailing wage or certified payroll documentation is a plus

Training will be provided on Schedule of Values (SOV) billing, but a solid accounting foundation—especially within construction—is essential.

What You’ll Do
Manage accounting activities for construction projects, including job costing, budgeting, and financial reporting
Prepare and process project billings, including SOV-based invoicing
Review and reconcile invoices, purchase orders, subcontractor payments, and change orders
Track project costs, monitor budgets, and identify variances, overruns, and cost-saving opportunities
Prepare cost reports, forecasts, and financial analyses to support project and executive decision-making
Ensure compliance with prevailing wage requirements, certified payroll, labor compliance, and lien releases
Collaborate with project managers, procurement, and finance teams to ensure accurate cost allocation and revenue recognition
Assist with monthly, quarterly, and annual financial reporting
Support audits by providing documentation, reconciliations, and cost analysis
Maintain and improve accounting processes, controls, and best practices
What We’re Looking For
Accounting experience, preferably in construction or project-based environments
Hands-on experience with:
Prevailing wages & certified payroll
Labor compliance & lien releases (preferred)
Strong proficiency in:
Microsoft Excel (assessment required upon hire)
Accounting/project management software such as Sage, LCPTrack
