Key Responsibilities

- Oversee daily office operations, administrative workflows, documentation, filing systems, and company records.
- Manage accounting support functions including accounts payable, accounts receivable, invoicing, billing, payment tracking, and vendor communications.
- Coordinate employee schedules, meetings, appointments, travel arrangements, and internal communications.
- Provide administrative and operational support to leadership, including reporting, project tracking, and coordination between departments.
- Deliver professional customer service to clients, vendors, field staff, office staff, and internal team members.
- Maintain confidentiality, accuracy, and organization while managing multiple priorities in a fast-paced environment.

Required Qualifications and Skills

- Manage day-to-day office operations, administrative systems, and internal coordination.
- Support accounting administration, including accounts payable, accounts receivable, billing, invoicing, and payment tracking.
- Coordinate schedules, meetings, travel, project communication, and administrative support for leadership and staff.
- Maintain accurate records, organized documentation, and efficient office procedures.

- 6 to 10 years of relevant office management, administrative management, or operations support experience preferred for this level of role.
- Previous Office Manager or Administrative Management experience required.
- Strong background in accounts payable, accounts receivable, billing, invoicing, and financial recordkeeping.
- Experience working in Mac OS environments required.
- Proficiency with Microsoft Office Suite and accounting software.
- Strong customer service, phone, email, and professional communication skills.
- Excellent organizational, multitasking, prioritization, and follow-through abilities.
- Ability to work independently, maintain confidentiality, and support leadership with accuracy and professionalism.

Preferred Qualifications

- Experience in construction, contracting, fire protection, field service, or related service industries.
- Prior experience supporting both office and field-based teams.
- Experience with payroll support, vendor coordination, budget reporting, or project tracking.
- Strong leadership presence with the ability to help maintain a positive, professional, team-oriented office environment.
