We’re looking for a highly organized and detail-driven Logistics Documentation Specialist to support our trucking operations. In this vital back-office role, you’ll handle the documentation that keeps our freight moving—accurately, efficiently, and in full compliance with industry standards.
This position focuses strictly on paperwork, ensuring that all shipment records, load information, and compliance documents are prepared and maintained with precision. If you’re passionate about logistics and love working behind the scenes to keep things running smoothly, this is the role for you.
Key Responsibilities:
Prepare, verify, and process essential trucking documents including:
Bills of lading (BOL)
Rate confirmations
Proof of delivery (POD)
Load tenders
Maintain accurate data in dispatch and transportation management systems (TMS)
Track and file all driver paperwork, ensuring timely and complete submission
Update load status and documentation in real-time for internal teams and clients
Ensure DOT and FMCSA compliance with document handling and retention
Communicate with drivers, dispatchers, and customers regarding document needs
Monitor dedicated inboxes and respond to document-related inquiries
Organize and maintain electronic and physical records for audits and reporting
Qualifications:
Required:
High school diploma or GED
Minimum 1 year of experience in trucking, transportation, or logistics
Strong attention to detail and commitment to accuracy
Proficient in Microsoft Office (Word, Excel, Outlook)
Solid organizational and data entry skills
Ability to work independently and meet tight deadlines
