Job Title: Office Services Specialist
Contract: Temporary to Perm
Location: Palo Alto, CA
Reports To: Client Services Supervisor/Manager

Position Overview:
We are seeking a motivated and adaptable individual to join our team as an Office Services Specialist. This position provides operational support within a legal office firm, including high-volume copying, document handling, shipping/receiving, and mail distribution. The role requires strong multitasking, time management, and customer service skills, along with the ability to handle confidential, time-sensitive documents with precision and professionalism.

Schedule & Pay:
• Monday to Friday: 9:00 AM to 6:00 PM
• Pay rate: $23/hour

Responsibilities:
• Operates high-volume duplicating and finishing equipment (binding, cutting, scanning, file conversion, OCR, etc.).
• Provides copier maintenance, clears paper jams, and coordinates equipment repairs.
• Manages incoming/outgoing mail, applies postage, distributes supplies, and maintains inventory records.
• Performs quality checks (QC), file services, document formatting, and archiving.
• Handles shipping/receiving tasks, meeting room setups, light maintenance, and occasional building support tasks.
• Interacts with executive-level staff, legal secretaries, paralegals, and partners to ensure high-quality customer service.

Qualifications:
• High school diploma or GED required; 1–2 years related work experience (legal industry preferred).
• Strong customer service, communication, and problem-solving skills.
• Ability to lift up to 50 lbs and stand/walk for long periods.
• Knowledge of copier operations, basic electronics, and shipping/receiving procedures.
• Familiarity with cost recovery, document management, and workflow software preferred.
• Previous copy/mailroom experience is a plus.
