Job Summary
A well-established, family-owned general contractor in Kirkland, WA is seeking a part-time Office Manager / Accounting professional to support daily office operations, administrative coordination, and construction accounting functions. This direct hire opportunity is ideal for an experienced Office Manager or Construction Administrator who enjoys working in a small business environment where accuracy, ownership, and teamwork matter.
This role offers the opportunity to make a meaningful impact across office management, Accounts Payable, subcontractor documentation, vendor communication, and accounting support. The work environment is hands-on, collaborative, and stable, with flexible part-time hours within normal business operations. The ideal candidate will bring construction industry experience, strong Sage knowledge, and the ability to manage multiple priorities with professionalism and attention to detail.
Key Responsibilities
- Manage daily office operations, administrative functions, filing systems, vendor communication, and general office support.
- Process Accounts Payable, enter invoices into Sage, prepare payments, and maintain Positive Pay tracking.
- Prepare subcontract agreements, maintain subcontract files, and track subcontractor invoices and payment status.
- Verify Certificates of Insurance, W-9 documentation, and required subcontractor compliance records.
- Process monthly recurring invoices, including rent, utilities, retirement plan contributions, and other operating expenses.
- Support special projects and cross-train in additional accounting functions, including Accounts Receivable and payroll support over time.
Compensation and Benefits
- Direct hire opportunity.
- Salary range: $49,400 to $59,300 per year.
- Part-time schedule, 25 to 30 hours per week.
- Onsite position in Kirkland, WA.
- Flexible schedule within normal business hours.
- PTO provided.
- Health insurance stipend available after 90 days.

Required Qualifications and Skills
- Manage office operations for a construction-focused business environment.
- Support Accounts Payable, invoice processing, payment preparation, and Sage accounting entries.
- Prepare and maintain subcontract agreements, subcontractor files, COIs, W-9s, and related documentation.
- Communicate with subcontractors, vendors, project personnel, and internal team members to keep administrative and accounting workflows organized.
- 3 to 5 years of relevant office management, construction administration, or accounting support experience.
- Previous experience working for a general contractor or construction company.
- Hands-on experience using Sage accounting software.
- Experience with Accounts Payable processes.
- Experience preparing subcontract agreements and maintaining subcontract documentation.
- Knowledge of Certificate of Insurance and W-9 verification.
- Strong Microsoft Office skills, particularly Outlook, Excel, and Word.
- Excellent organizational skills and strong attention to detail.
- Ability to work independently, manage competing priorities, and support a small business office environment.
Preferred Qualifications
- Experience supporting payroll or additional accounting functions.
- Knowledge of construction accounting processes.
- Experience working in a small business environment.
- Accounts Receivable support experience.
