Job Summary

We are seeking an Office Manager for a direct hire opportunity with a long-established, family-owned manufacturing company in San Rafael, CA. This role is ideal for a detail-oriented professional with accounts receivable, office administration, customer service, and bookkeeping support experience.

The Office Manager will join a small, collaborative office team that supports a fast-paced operation serving customers nationwide. This is a stable workplace with a strong reputation for quality products, traditional craftsmanship, and a commitment to excellent customer support. Key Responsibilities

- Oversee accounts receivable functions, including customer purchase orders, invoices, payments, and statements.
- Maintain customer order status spreadsheets and ensure accurate, up-to-date information.
- Communicate professionally with customers by phone and email regarding orders, billing, and general inquiries.
- Create weekly deposits for cash and check payments and process credit card payments.
- Support general office operations and assist with administrative tasks as needed.
- Work closely with a small office team to keep daily operations organized, efficient, and customer-focused.

Compensation and Benefits

- Pay Range: $25.00 to $35.00 per hour.
- Job Type: Direct hire.
- Schedule: Monday through Friday, 8:00 AM to 4:30 PM.
- Location: San Rafael, CA.

Required Qualifications and Skills

- Manage accounts receivable activity, including invoicing, payments, statements, and deposits.
- Maintain customer order tracking spreadsheets and support accurate order status communication.
- Provide customer support by phone and email in a professional, timely manner.
- Assist with day-to-day office administration in a small, fast-paced team environment.

- Minimum 2 years of accounts receivable experience.
- Proficiency with Microsoft Word and Microsoft Excel.
- Strong attention to detail and accuracy with financial and customer information.
- Ability to work cordially and effectively with colleagues, customers, and vendors.
- Self-motivated with the ability to work independently and manage competing priorities.
- High level of discretion, initiative, organization, and follow-through.

Preferred Qualifications

- 3 to 5 years of office management, bookkeeping, accounts receivable, or administrative support experience.
- Experience in manufacturing, construction, building products, or a related industrial environment.
- Prior experience processing customer purchase orders, invoices, deposits, and credit card payments.
- Comfort working in a small office team where flexibility and ownership are important.
