A growing construction business in Huntington Beach, CA is seeking an experienced Office Manager to support bookkeeping, payroll, accounting, and day-to-day office operations. This direct hire opportunity is ideal for someone who enjoys being an essential part of a small business, working closely with ownership, and helping keep projects, records, and office systems organized.
The Office Manager will play a key role in maintaining accurate financial records, supporting customer and vendor communication, coordinating payroll and employee documentation, and improving office processes as the business continues to grow. This is a hands-on role for a dependable, detail-oriented professional who enjoys variety, takes ownership of their work, and values a collaborative office environment with supportive leadership.
Key Responsibilities
- Manage day-to-day bookkeeping, financial records, invoicing, collections support, vendor invoices, purchase receipts, and general accounting documentation.
- Maintain QuickBooks records, support financial reporting, assist with job costing, and help keep projects financially organized.
- Process employee payroll, track hours and commissions, and assist with payroll documentation, including prevailing wage or certified payroll when applicable.
- Handle customer inquiries, phone calls, office correspondence, mail, email, filing systems, and general administrative tasks.
- Maintain employee files, onboarding paperwork, company records, licenses, insurance certificates, and project documentation.
- Support owners with scheduling, vendor and subcontractor coordination, administrative projects, and process improvements.
Compensation and Benefits
- Salary range: $52,000.00 to $73,000.00 per year.
- Job type: Direct hire.

- Maintain QuickBooks, financial documentation, employee records, project files, and office systems.
- Support day-to-day office management, customer communication, scheduling, and administrative coordination.
- Assist ownership with reporting, job costing, process improvements, and overall business operations.
- 3 to 5 years of relevant office management, bookkeeping, accounting, or payroll experience.
- Bookkeeping and accounting experience is required.
- Strong working knowledge of QuickBooks is required.
- Experience processing employee payroll is required.
- Ability to calculate and track employee hours and commissions.
- Strong organizational skills with excellent attention to detail.
- Professional written and verbal communication skills.
- Ability to work independently, solve problems, prioritize tasks, and manage multiple responsibilities.
- Dependable, trustworthy, and comfortable handling confidential employee and financial information.
Preferred Qualifications
- Experience in the construction industry, including residential, commercial, office, or subcontractor environments.
- Experience with job costing, project accounting, vendor reconciliation, and expense tracking.
- Experience preparing prevailing wage documentation or certified payroll reports.
- Prior experience supporting owners or leadership in a small business setting.
