Office Operations Manager
Healthcare, Wellness & Fitness
Full-Time | In-Office | Santa Monica
Elevate Physical Therapy & Fitness is a well-established, thriving outpatient physical therapy, wellness, and fitness facility that has served the Santa Monica and Westside of Los Angeles community since 2014. We are seeking an Office Operations Manager to lead day-to-day office operations and support an exceptional experience for both patients and clients within a highly reputable, growing company.
This role is ideal for someone who is highly organized, detail-oriented, professional, and experienced — someone who enjoys creating structure, solving problems, and ensuring systems run smoothly in a fast-paced, people-focused environment.
This is a hands-on, in-office role. The Office Operations Manager plays an important role in keeping the practice running efficiently and professionally.
Responsibilities
Patient & Client Experience
? Oversee daily front desk operations and ensure a welcoming, polished, and professional experience
? Support patient and client intake, scheduling, and coordination of services
? Ensure paperwork, prescriptions, and records are complete, accurate, and up to date in company digital system
? Communicate clearly, calmly, and professionally in person and in email regarding the company, services, pricing, scheduling, billing, and insurance process.
Scheduling, Billing & Light Insurance Support
? Manage scheduling in Company practice management system
? Support billing processes and provide light insurance-related support ie data entry, follow-ups if needed. (healthcare experience is a plus).
? Maintain accurate patient and client information across company systems
? Identify and escalate issues early to remedy and preserve patient and client positive experience
Office Operations & Systems
? Own and maintain office workflows, systems, and tracking tools
? Use practice management software and built-in reporting tools effectively
? Follow established procedures and contribute to ongoing process improvement
? Track tasks, deadlines, and follow-ups in Company systems to ensure consistent tracking, execution and completion
Team & Program Oversight
? Coordinate with healthcare, fitness, and wellness professionals and leadership
? Provide guidance and oversight to interns and other administrative staff
? Support a professional, positive, collaborative, and accountable office culture
? Liaise with vendors and external partners as needed related to office operations
Qualifications
? 5+ years of relevant experience in healthcare, wellness, fitness, hospitality, entertainment, executive support, or another high-touch professional environment
? Strong organizational skills and excellent attention to detail
? Comfortable managing schedules, administrative workflows, and multiple priorities
? Proficient with Google Workspace Tools, experience using AI-enabled tools to improve efficiency and adaptable to new technology systems
? Demonstrates sound judgment, professionalism, and discretion
? Enjoys problem-solving and takes initiative
? Appreciates structure, tools, and systems that support efficiency and productivity
? Brings a steady, composed, and positive presence to the workplace
? Clear communicator in person and in writing who follows through and takes ownership

Job Details
? Full-time: 30–35 hours per week
? Location: In-office, Santa Monica
? Compensation: Competitive and commensurate with experience
