A well-established and growing organization is seeking a highly organized and detail-oriented Office Coordinator to support executive leadership and ensure the smooth day-to-day operations of the corporate office. Key Responsibilities
Administrative Support
Manage calendars, scheduling, and meeting coordination for finance team.
Prepare meeting agendas and track follow-ups on action items
Draft professional correspondence, emails, and basic reports
Maintain organized digital and physical filing systems
Handle sensitive and confidential information with discretion
Communication & Coordination
Coordinate internal and external communications on behalf of leadership
Assist with preparing presentations, reports, and meeting materials
Support document formatting and preparation
Office Coordination
Order and manage office supplies and inventory
Coordinate meetings, events, and team activities
Manage incoming/outgoing mail, shipments, and deliveries
Administrative & Operational Support
Assist with vendor payment approvals and documentation
Support document distribution, mailings, and general office tasks
Run occasional business-related errands
Maintain task lists and ensure timely completion of assignments
Provide cross-functional administrative support as needed
General Support
Assist with special projects and ad hoc assignments
Provide flexible support based on evolving business needs
Help maintain a professional, efficient office environment
Qualifications
Experience
3–5 years of administrative, office coordination, or executive assistant experience
Experience supporting senior leadership strongly preferred
Exposure to finance or accounting processes is a plus
Education
College degree preferred, but not required
Skills & Competencies
Strong organizational and time management skills
Excellent written and verbal communication
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
High attention to detail and accuracy
Ability to multitask and prioritize effectively
Professional demeanor with strong interpersonal skills
Proven ability to handle confidential information
Proactive, dependable, and solutions-oriented
