We are seeking a Temp-to-Hire Office Assistant in Union City, CA to support community management operations within a real estate and property management environment. This role is ideal for an administrative professional with 1 to 2 years of office experience who enjoys customer service, organization, resident communication, and supporting day-to-day property operations.
The Office Assistant will work closely with the Community Manager and Regional Manager to help maintain smooth community operations, support residents, coordinate administrative tasks, and assist with reporting, notices, rent processing, and vendor communication. Key Responsibilities
- Provide administrative support to the Community Manager, including coverage during management absences.
- Assist with monthly and annual reports, resident notices, rental agreements, application processing, and rent statement processing.
- Deliver professional customer service and resident relations support, including communication by phone and email.
- Help enforce community rules and regulations while maintaining patience, professionalism, and consistency.
- Coordinate with maintenance employees, vendors, the Community Manager, and Regional Manager to support effective community operations.
- Organize community activities and support daily office functions using Microsoft Office, email, scanners, postage equipment, and property management software.
Compensation and Benefits
- Temp-to-Hire opportunity.
- Salary range: $41,600 to $45,760 per year.
- Benefits offered after 90 days on the client’s payroll.
- 12 paid holidays.
- 40 hours of sick time, with additional hours accrued.

- 1 to 2 years of office or administrative experience preferred for this entry-level role.
- Strong customer service skills with the ability to communicate patiently and professionally with senior residents age 55 and older.
- Ability to enforce rules and regulations with confidence, fairness, and good judgment.
- Proficiency with Microsoft Windows, Microsoft Word, Microsoft Excel, email, scanners, postage machines, and general office tools.
- Comfortable learning and using property management software, including Manage America and AVID.
- Strong attention to detail, organization, follow-through, and ability to manage multiple priorities.
- Professional communication skills and ability to work effectively with residents, managers, vendors, and maintenance teams.
Preferred Qualifications
- Previous experience in property management, storage facilities, healthcare clinics, or a similar customer-facing office environment.
- Bilingual Spanish or Mandarin skills are a plus.
- Experience working with senior residents or in a residential community setting.
- Familiarity with resident applications, rental agreements, rent collection, and property-related notices.
