Administrative Assistant / Office Support Specialist
Are you organized, detail-oriented, and great with people? We’re looking for an Administrative Assistant who can keep our office operations running smoothly and efficiently. If you enjoy variety in your day, excel at multitasking, and love supporting a team, this role is for you!

What You'll Do
As a vital member of our administrative team, you’ll handle a wide range of clerical and support tasks to ensure day-to-day operations stay on track.

Your Responsibilities Will Include:
Operate Office Equipment: Use photocopiers, scanners, fax machines, voicemail systems, and computers to complete tasks efficiently.

Answer and Direct Calls: Manage incoming phone calls, take messages, and route calls to the appropriate team members.

Organize and Maintain Systems: Keep filing, mailing, inventory, and database systems up-to-date—digitally and physically.

Customer & Team Communication: Interact with clients, staff, and vendors to provide information, answer questions, take orders, and resolve concerns.

Mail & Correspondence: Sort and route incoming mail, respond to correspondence, and prepare and send outgoing mail.

Document Management: Compile, copy, sort, and file business records and transaction documents.

Data Entry & Proofing: Enter and review information for accuracy in reports, records, and various documents.

Document Preparation: Type, format, edit, and proofread letters, reports, and memos from written notes or audio recordings.

Scheduling Support: Manage calendars, schedule meetings, and assist in coordinating appointments and events.

Information Retrieval: Review files and records to locate and summarize relevant information when needed.

What We're Looking For
Strong communication and organizational skills

Attention to detail and accuracy

Proficiency with Microsoft Office (Word, Excel, Outlook) and general office equipment

Ability to manage multiple priorities in a fast-paced environment

A proactive attitude and a team-player mindset
