Job Summary
We are seeking an experienced Office Administrator for a direct hire opportunity in Roseville, CA. This role is ideal for a detail-oriented administrative and accounting support professional who enjoys variety, accuracy, and being a trusted part of a collaborative office team.
The Office Administrator will support accounts payable, vendor invoice processing, subcontractor billing documentation, certified payroll tracking, sales/use tax filings, and general office operations. Key Responsibilities
- Coordinate and process vendor invoices for approval and payment while maintaining accurate records in a paperless filing system.
- Process subcontractor progress and retention billings.
- Maintain credit card statements, receipts, month-end tasks, quarterly duties, and sales/use tax return filings.
- Manage incoming mail, office supplies, office equipment maintenance tracking, and general administrative office needs.
- Prepare and process business renewals and filings with federal, state, county, and city entities.
- Communicate professionally with subcontractors, vendors, internal teams, and external business contacts.

- Pay range: $24.00 to $33.00 per hour.

Required Qualifications and Skills
- Manage accounts payable processing, vendor invoices, credit card documentation, and organized recordkeeping.
- Support subcontractor billing, certified payroll tracking, sales/use tax filings, and month-end or quarterly accounting tasks.
- Coordinate daily office administration, supplies, mail distribution, equipment maintenance tracking, and business filings.
- Communicate effectively with subcontractors, vendors, and internal team members to support accurate and timely operations.
- 6-10 years of related office administration, accounting support, accounts payable, accounts receivable, or clerical support experience preferred.
- High school diploma required.
- Proficiency with Microsoft Office applications, including Word, Excel, SharePoint, and Outlook.
- Ability to use a keyboard and 10-key by touch.
- Strong attention to detail with the ability to maintain accuracy, quality, and productivity in a fast-paced environment.
- Clear and concise verbal and written communication skills.
- Strong organization, recordkeeping, multitasking, and workload prioritization skills.
- Dependable, responsible, honest, hardworking, conscientious, and team-oriented.
- Self-directed with the ability to demonstrate initiative and strive for continuous improvement.
Preferred Qualifications
- College coursework or continuing education.
- Construction accounting experience required.
- At least 2 years in an office environment performing clerical, administrative, and support activities.
