We are helping one of our very best clients add a fantastic Office Admin for their team in Oceanside!

Seeking a highly skilled and detail-oriented Office Administrator to play a key role in ensuring the efficiency of daily operations. This position involves managing administrative tasks, coordinating schedules, handling vendor and client communications, and supporting the executive team with documentation and reporting. The ideal candidate is highly organized, detail-oriented, and proactive in streamlining office processes.

Essential Duties:
Office Administration & Support:
· Oversee office operations, including managing incoming calls, emails, and correspondence.
· Maintain organized records and filing systems, including both digital and physical documentation.
· Assist with supply inventory tracking, ordering office supplies, and coordinating office maintenance.
· Ensure a professional, clean, and well-organized office environment.
Executive Support & Coordination:
· Support the executive team by preparing reports, presentations, and business documents.
· Coordinate meetings, including preparing agendas, documenting meeting notes, and following up on action items.
· Handle confidential information with discretion and professionalism.
· Facilitate cross-functional communication to ensure alignment of company initiatives.

Documentation, Reporting & Compliance:
· Prepare reports, invoices, and essential business documents with accuracy.
· Ensure company records and compliance documentation are up-to-date.
· Support the HR, Quality and finance departments with administrative tasks as needed.

Event and Special Project Coordination:
· Plan and coordinate company events, executive off-sites, and special projects as directed by the CEO.
· Assist with logistics for high-level meetings and audits, including conference room setup, technology needs, and catering arrangements.

Education and Experience:
· High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or a related field is a plus.
· 2+ years of experience in an administrative or office support role.

Required Skills/Abilities:
· Proven ability to maintain confidentiality and exercise sound judgment in sensitive situations.
· Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively under pressure.
· Advanced proficiency in Microsoft Office Suite (Word, Excel, PotheyrPoint, Outlook).
· Strong interpersonal and communication skills to interact confidently with all departments of the organization.
· High attention to detail and accuracy in all deliverables.
· Strong verbal and written communication skills to interact professionally with internal and external stakeholders.
