Job Summary: We are seeking a detail-oriented and organized Transactional Accounting & Administrative Assistant to support our finance and administration teams. This role will focus on the day-to-day processing of financial transactions, maintaining accurate records, and assisting with general administrative tasks to ensure smooth operations within the department. The ideal candidate will be proactive, have a strong understanding of basic accounting principles, and be proficient in administrative functions.
Key Responsibilities:
Transactional Accounting:
Process accounts payable and accounts receivable transactions, ensuring timely and accurate entry into the accounting system.
Assist in the preparation and maintenance of financial records, including invoices, receipts, and reconciliations.
Manage and track expense reports and ensure compliance with company policies.
Reconcile bank statements and assist with month-end and year-end closing procedures.
Prepare and process payments to vendors, ensuring that all transactions are recorded correctly.
Support tax filings and maintain necessary documents for audits.
Administrative Duties:
Provide general administrative support to the finance team, including scheduling meetings and maintaining calendars.
Prepare and file financial documents, reports, and other correspondence.
Maintain accurate filing systems, both electronic and paper, for financial records and administrative documents.
Handle basic office duties such as data entry, photocopying, and organizing office supplies.
Assist in coordinating office operations, ensuring smooth and efficient day-to-day activities.
Respond to inquiries from internal departments, vendors, and clients related to accounts and administrative matters.
Required Skills & Qualifications:
Proven experience in transactional accounting, accounts payable, and accounts receivable.
Basic understanding of accounting principles and financial transactions.
Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Experience with accounting software (e.g., QuickBooks, SAP, Xero) is a plus.
High attention to detail and accuracy.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive financial information.
Preferred Qualifications:
Associate’s degree in Accounting, Finance, Business Administration, or a related field.
Previous experience in an administrative or accounting role.
Familiarity with office management systems and procedures.
