We are seeking an experienced Staff Accountant to join our team for a critical, short-term clean-up project.
The primary objective of this role is to reconcile and update our accounting records for the past ten months, ensuring our books are current and accurate for year-end reporting and audit preparation. Will be responsible for maintaining the day-to-day accounting and financial operations of the organization, ensuring financial records are accurate, timely, and compliant with Generally Accepted Accounting Principles (GAAP) for non-profits. A strong focus of this role will be the accurate use and maintenance of the QuickBooks Desktop accounting system, including utilization of its features for non-profit fund and grant tracking.
Essential Duties and Responsibilities
1. General Accounting and Financial Operations (Utilizing QuickBooks Desktop)
Manage and maintain the general ledger, ensuring all transactions are accurately recorded in QuickBooks Desktop.
Process accounts payable (A/P) and accounts receivable (A/R), including vendor invoice entry, bill payments, and recording cash receipts/donations.
Perform timely and accurate monthly bank and credit card reconciliations in QuickBooks Desktop.
Process payroll entries and related journal entries from the third-party payroll provider.
Prepare and post monthly and year-end journal entries, including those for depreciation, prepaid expenses, and accruals.
Maintain the fixed asset register and related depreciation schedules.
Ensure the integrity of the QuickBooks Desktop data file, including performing regular data backups.
Assist in maintaining and updating the Chart of Accounts, utilizing the Class/Customer/Job features in QuickBooks Desktop to track expenses by program, grant, or restricted fund.
2. Non-Profit and Compliance Specific Duties
Apply non-profit accounting principles, including tracking and releasing temporarily restricted net assets (if applicable).
Grant and Fund Accounting:
Track expenses and revenue associated with specific grants and restricted funds using the QuickBooks Desktop Class/Customer:Job functionality.
Prepare monthly/quarterly financial reports for program managers and grant funders, comparing budget to actual expenses.
Ensure proper allocation of shared expenses (e.g., administrative overhead) across programs and grants.
Assist in the preparation of schedules and documents required for the annual financial audit and the Form 990 tax return.
Prepare and file annual 1099 forms for contractors.
Help develop and maintain strong internal controls and financial policies and procedures.
3. Financial Reporting and Analysis
Assist in the preparation of monthly, quarterly, and annual financial statements, including:
Statement of Financial Position (Balance Sheet)
Statement of Activities (Income Statement)
Statement of Cash Flows
Generate ad-hoc financial reports from QuickBooks Desktop for management and the Board of Directors.
Assist with the annual organizational budget and periodic budget-to-actual variance analysis.
Education and Experience
Bachelor's degree in Accounting, Finance, or a related field, OR equivalent combination of education and experience.
5-7 years of progressively responsible accounting experience.
Experience working in the non-profit sector is highly preferred.
Solid understanding of Generally Accepted Accounting Principles (GAAP) for non-profits.
Technical Skills
High Proficiency in QuickBooks Desktop is Mandatory.
