Job Summary
The Medical Administrator oversees the daily administrative and operational functions of a medical practice, ensuring efficient workflows, regulatory compliance, and exceptional patient service. This role combines leadership, human resources management, and hands-on expertise in medical coding and billing to support both clinical and administrative teams.
Key Responsibilities
Office & Practice Management
Oversee day-to-day operations of the medical office, ensuring smooth patient flow and efficient scheduling
Develop, implement, and maintain office policies and procedures in compliance with healthcare regulations
Supervise front-office and administrative staff, providing training, coaching, and performance feedback
Serve as a liaison between providers, staff, and external vendors
Human Resources
Manage HR functions including hiring, onboarding, scheduling, payroll coordination, and staff records
Ensure compliance with employment laws, workplace policies, and confidentiality standards
Address employee relations issues and support staff development and retention
Coordinate performance evaluations and continuing education requirements
Medical Coding & Billing
Oversee medical coding and billing processes to ensure accuracy and compliance with CPT, ICD-10, and HCPCS guidelines
Monitor claims submission, denials, appeals, and reimbursements
Ensure adherence to payer requirements and healthcare regulations
Collaborate with billing staff or external vendors to optimize revenue cycle performance
Compliance & Reporting
Ensure compliance with HIPAA, OSHA, and other healthcare regulations
Prepare and analyze operational, financial, and billing reports
Identify process improvements to enhance efficiency and patient satisfaction
Qualifications
Associate’s or Bachelor’s degree in Healthcare Administration, Business, or related field preferred
Minimum of 3–5 years of experience in medical office management
Strong working knowledge of medical coding, billing, and insurance processes
HR experience including hiring, employee relations, and compliance
Proficiency in EHR/EMR systems and practice management software
Excellent leadership, organizational, and communication skills
Ability to handle confidential information with professionalism
Preferred Certifications
Certified Professional Coder (CPC), CCS, or equivalent
Certified Medical Manager (CMM) or similar
HR certification (PHR, SHRM-CP) a plus
