We are seeking a bilingual Japanese and English Maintenance Parts Assistant for a direct hire opportunity in Irvine, CA. This entry-level role supports maintenance service operations for a food and beverage production equipment environment, with training provided after hire.

The Maintenance Parts Assistant will work closely with the Maintenance Manager, internal accounting team, vendors, customers, and overseas headquarters to ensure parts quotes, orders, shipments, invoices, inventory updates, and back orders are handled efficiently.
Key Responsibilities
• Prepare and manage domestic and international parts quotations, customer orders, back orders, and related service support documentation.
• Coordinate shipping and invoicing for domestic and international orders using carriers such as FedEx and UPS, including proforma invoices and commercial invoices.
• Communicate with internal accounting teams regarding invoicing, past due status, advance payments, and cost transfer processes.
• Support inventory control by managing warehouse parts, investigating missing parts, restocking regular parts, and updating parts records in the internal system.
• Process parts requests involving local vendors, overseas headquarters, direct shipments, special parts, discontinued parts, pricing updates, and alternate part information.
• Maintain accurate customer and parts information while providing responsive support to customers and internal service teams.
Compensation and Benefits
• Direct hire
• Pay range: $20 to $23 per hour
• Schedule: Monday through Friday, 8:30 a.m. to 5:30 p.m.
• Work arrangement: On-site only. No remote or hybrid option.

Required qualifications and skills:
• Japanese and English bilingual communication skills are required.
• Entry-level candidates are welcome. No prior experience is required, and training will be provided.
• Minimum Associate degree required.
• Strong attention to detail and accuracy when handling orders, invoices, parts records, and inventory data.
• Ability to communicate professionally with customers, vendors, internal departments, and international contacts.
• Basic computer skills and ability to learn internal order processing, inventory, and customer management systems.
• Strong organizational skills with the ability to manage multiple requests, follow up on pending items, and meet deadlines
• Commitment to long-term employment and growth within the organization.
Preferred Qualifications
• Interest in manufacturing, production, equipment service, parts coordination, logistics, or inventory control.
• Prior exposure to order processing, shipping documentation, customer service, administrative support, or warehouse coordination is helpful but not required.
• Familiarity with FedEx, UPS, commercial invoices, proforma invoices, or international shipping processes is a plus.
