Coordinator – Maintenance & Operations Support
Role Summary
We are supporting a search for a Coordinator to join a large, highly regulated operations environment within the transportation sector. This is a high-visibility administrative and operations support role that partners closely with senior leadership across multiple functional teams.
This position plays a key role in keeping day-to-day operations running smoothly by supporting leadership with scheduling, coordination, documentation, systems, and process support. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced, operational setting.
This is an individual contributor role with broad exposure to leadership and cross-functional teams.
What You’ll Do
Support department leadership with the creation, organization, and publishing of metrics, policies, and operational documentation
Maintain and update SharePoint sites, ensuring content is accurate, organized, and accessible
Manage complex calendars for senior leaders, including coordinating schedules with internal partners, executives, and external vendors
Coordinate meeting logistics for on-site and off-site meetings, including rooms, equipment, and catering
Support new employee onboarding by coordinating access, badging, tools, and workspace readiness
Coordinate uniform and equipment needs for operational teams
Process vendor invoices and partner with Accounts Payable to ensure timely payment
Manage office supplies and general administrative needs for assigned teams
Support employee engagement and recognition initiatives
Assist with additional administrative and operational projects as needed

Required Experience
Experience supporting senior leadership with complex calendaring and coordination
Strong experience managing and updating SharePoint sites and content
Proven administrative or operations support experience in a fast-paced, regulated, or operations-driven environment such as aviation, manufacturing, logistics, transportation, or similar
