Position Overview:
We're hiring someone to help keep our machines and equipment running smoothly at our organic drink factory. You'll work with the maintenance team to keep track of parts, plan regular check-ups for machines, and help order new supplies. You’ll need to talk to both English- and Spanish-speaking workers, look at machine manuals, and help solve equipment issues.
This job is very hands-on. You’ll spend a lot of time out on the production floor, not just sitting at a desk. You’ll help track what parts we have, what we need to order, and make sure everything is organized.
Key Responsibilities:
• Spend time on the production floor daily to directly observe equipment, verify part usage, and interact with operators and mechanics.
• Read and interpret equipment manuals, OEM drawings, and spare parts lists. Accurately identify mismatches between floor equipment and documentation (e.g., discontinued, or substituted parts).
• Communicate clearly in English/Spanish with equipment operators and floor staff to ensure mutual understanding of equipment issues, needs, and updates.
• Conduct routine physical counts of spare parts. Identify and document discontinued parts, substitutions, and lead times. Maintain up-to-date records of parts availability.
• Schedule, coordinate, and document PM activities using UpKeep or similar CMMS platforms.
• Create, track, and close work orders. Ensure clear and complete documentation of issues, resolutions, and labor/parts costs.
• Manage part and supply orders, including PO creation, vendor follow-ups, and updates on lead times and delivery expectations. Transparently communicate any delays or changes.
• Review and approve bills via bill.com with full documentation and PO matching.
• Support the Maintenance Manager in analyzing downtime causes and identifying areas for preventive or corrective improvement.
Qualifications:
• 2+ years of recent experience in an administrative role within the food and/or beverage manufacturing industry
• Strong ability to read, understand, and apply technical documents (OEM manuals, schematics, exploded diagrams).
• Fluency in English/Spanish (spoken) required.
• Comfortable in a floor-first role—this is not a desk-only position.
• Strong organizational skills to manage and track large volumes of parts and actions.
• Experience using maintenance tracking platforms (e.g., UpKeep) preferred.
• Familiarity with parts procurement and vendor coordination.
• Skilled in Google Workspace, especially Sheets (Excel) and maintenance software platforms.
