A well-established law firm in Downtown Los Angeles is seeking an experienced Litigation Secretary to support a busy and sophisticated litigation practice. The Litigation Secretary will work closely with attorneys, paralegals, firm leadership, and internal administrative teams to keep cases moving efficiently and accurately. Key Responsibilities

- Draft, edit, format, and prepare legal correspondence, discovery responses, pleading shells, and litigation documents.
- Prepare Tables of Contents and Tables of Authorities while ensuring documents are accurate, polished, and court compliant.
- Manage court filings in state, federal, and appellate courts while tracking deadlines and procedural requirements.
- Coordinate depositions, court reporters, hearings, attorney calendars, and case-related scheduling.
- Support attorneys and paralegals with trial preparation, hearing binders, litigation support, and case file organization.
- Handle client communications, screen calls, process time entry, and complete administrative duties including filing, scanning, copying, and faxing.

Required Qualifications and Skills

- Support a busy litigation practice through document preparation, court filings, scheduling, and case workflow coordination.
- Manage litigation deadlines, attorney calendars, client communications, and administrative case support.
- Prepare court-compliant pleadings, discovery documents, Tables of Contents, Tables of Authorities, and trial materials.
- Coordinate filings and procedural requirements across state, federal, and appellate courts.

- 3 to 5 years of experience as a Litigation Secretary, Legal Secretary, or similar litigation support professional.
- Strong knowledge of California state court, federal court, and appellate filing procedures.
- Excellent legal document formatting, proofreading, editing, and production skills.
- Experience preparing litigation pleadings, correspondence, discovery responses, and trial-related materials.
- Strong calendaring, deadline tracking, organizational, and follow-through skills.
- Professional communication skills with the ability to interact effectively with attorneys, paralegals, clients, court personnel, and internal teams.
- Ability to manage competing priorities in a fast-paced law firm environment with accuracy and discretion.

Preferred Qualifications

- Prior experience supporting complex litigation matters in a law firm environment.
- Experience preparing Tables of Contents and Tables of Authorities for court filings.
- Familiarity with trial preparation, hearing binders, litigation support, and case file organization.
- Experience supporting multiple attorneys or practice groups with high-volume litigation workflows.
