We are seeking an experienced Litigation Legal Assistant (Secretary) to provide direct support to a team of attorneys handling employment-related defense litigation. This role involves assisting attorneys in complex legal tasks, working collaboratively in a team-oriented environment, and ensuring high-quality legal services. This is an onsite position in Orlando.

Main Responsibilities

Manage office correspondence and administrative tasks, including answering calls, communicating with clients, court clerks, and vendors, responding to emails, and monitoring client deadlines and attorney calendars.
Assist attorneys in all phases of the litigation discovery process, including preparation for hearings, arbitrations, and trials; perform bates numbering, redacting, and e-filing with state and federal courts.
Process monthly expense reports and accurately enter, review, and revise timekeeper entries when requested.
Format and proofread legal documents for grammar, spelling, and completeness prior to filing or distribution.
Maintain and organize both physical and electronic files.
Exercise good judgment and organizational skills to handle and disseminate information for clients and attorneys.
Coordinate meetings and events such as arbitrations, depositions, and mediations.
Oversee conflict checks and client intake for new matters.
Complete multiple assignments and deadlines professionally, seeking assistance when necessary.

Qualifications

Ability to type at least 65 WPM.
High school diploma or equivalent required; associate or bachelor’s degree preferred.
Minimum four years of solid defense litigation experience, including familiarity with Florida and Federal Rules of Civil Procedure.
Intermediate to advanced skills in MS Office (Word, Excel, PowerPoint, Outlook); experience with time entry, e-filing, and electronic document management systems preferred.
Excellent interpersonal, communication, writing, and grammar skills.
Ability to work under pressure and meet deadlines with quick turnaround times.
Positive, “can-do” attitude when interacting with clients, co-workers, and attorneys.
Proven organizational skills, dependability, initiative, flexibility, resiliency, and a professional demeanor.
