This is a critical role that ensures the smooth coordination of court appearances, depositions, and legal deadlines while maintaining the overall efficiency of office operations.

Key Responsibilities:

Manage all litigation scheduling with precision, including:
-Scheduling court appearances, hearings, and conferences in compliance with court rules and attorney availability.
-Coordinating depositions, mediations, and witness appearances with attorneys, clients, and opposing counsel.
-Monitoring filing deadlines, discovery cutoffs, and litigation timelines to prevent missed dates.
-Anticipating and resolving scheduling conflicts promptly.
-Communicating updates and confirmations with attorneys, clients, and court personnel.
Maintain the firm’s master litigation calendar and distribute daily and weekly schedules to attorneys and staff.
Serve as the primary point of contact for all scheduling communications related to litigation matters.
Perform general office support tasks, including:
-Sorting, scanning, and distributing mail and faxes.
-Greeting and assisting clients upon arrival.
-Preparing and maintaining conference rooms for meetings and depositions.
-Handling outgoing mail, UPS/FedEx shipments, and office errands.
Assist attorneys and staff with administrative tasks during downtime.
Maintain cleanliness and organization in reception, conference rooms, and common areas.

Requirements:

Minimum of 2 years of experience in a law firm or legal environment.
Proven experience with litigation scheduling, must understand court rules, legal deadlines, and the urgency of time-sensitive matters.
Proficiency in Microsoft Outlook and Word; experience with Zoom calendaring systems is a plus.
Strong organizational and multitasking skills to manage multiple attorneys’ schedules accurately.
Excellent communication and problem-solving abilities to handle urgent changes and sensitive situations.
Ability to maintain confidentiality and work calmly under pressure.

Preferred Qualifications:

Familiarity with e-filing and legal terminology.
Experience in litigation-focused law firms.
