Job Summary

A growing national HVAC/R service provider is seeking a detail-oriented Licensing Specialist to support a Certificate of Insurance project on a temporary contract basis. This role is ideal for an administrative professional who enjoys organized, deadline-driven work and wants to contribute to a high-volume licensing and compliance function.

The Licensing Specialist will assist with maintaining accurate COI records, supporting business license renewals, tracking outstanding insurance requirements, and coordinating administrative follow-up with internal teams and external contacts. This is a 100% on-site opportunity in Melbourne, FL with a Monday through Friday schedule.

This position offers a supportive team environment, steady administrative work, and the potential for extension or full-time conversion based on business needs and performance. Key Responsibilities

- Request, review, submit, and update Certificate of Insurance information for jurisdictions where company licenses are held.
- Track outstanding COI requirements and follow up to ensure deadlines and compliance needs are met.
- Assist with business license renewals and related administrative documentation.
- Maintain accurate records in company databases, spreadsheets, and internal systems.
- Prepare, process, and track mailings, forms, and other licensing department documents.
- Perform general administrative and computer-based tasks to support department workflow.

Compensation and Benefits

- Pay: $20 to $23 per hour.
- Job Type: Contract/Temporary.
- Assignment Duration: Temporary through possibly March, with potential to extend.
- Schedule: Monday through Friday, 9:00 AM to 5:00 PM.
- Work Arrangement: 100% on site in Melbourne, FL.
- Start Date: ASAP.
- Potential opportunity for full-time conversion at the end of the project based on business needs.



Required Qualifications and Skills

- Support the Certificate of Insurance update project for licensing and jurisdictional compliance needs.
- Maintain accurate COI, licensing, renewal, and administrative records.
- Track deadlines, follow up on missing documentation, and help keep project activity moving forward.
- Assist the Licensing Department with mailings, forms, database updates, and general administrative tasks.

- 1 to 2 years of administrative, clerical, data entry, licensing, insurance, compliance, or office support experience preferred.
- Strong computer skills with the ability to work in databases, spreadsheets, email, and document management systems.
- Excellent attention to detail and accuracy when entering, updating, and reviewing records.
- Strong organizational skills with the ability to manage multiple tasks, follow-ups, and deadlines.
- Professional communication skills for requesting information and coordinating with internal or external contacts.
- Ability to work independently while staying aligned with department priorities and project requirements.
- Dependable, proactive, and comfortable working in a fast-paced administrative environment.

Preferred Qualifications

- Experience working with Certificates of Insurance, business licenses, renewals, compliance documentation, or jurisdictional requirements.
- Familiarity with administrative support in a corporate, service, construction, facilities, HVAC/R, insurance, or licensing-related environment.
- Intermediate spreadsheet skills, including sorting, filtering, tracking updates, and maintaining accurate project lists.
- Previous experience supporting temporary projects with defined deadlines and high attention to documentation accuracy.
