Position Overview
This temporary position supports provides hands-on operational and administrative support within a legal office environment. The role involves mailroom operations, print and copy services, receptionist backup, hospitality support, and internal mail distribution. The ideal candidate will demonstrate professionalism, strong customer service skills, and the ability to work efficiently in a fast-paced legal setting.

Key Responsibilities
Mailroom & Office Support
• Handle incoming and outgoing mail and packages
• Process FedEx and courier pickups
• Maintain mail logs, reports, and documentation
• Perform internal mail runs
• Assist with shipping and receiving
Legal Office & Client Support
• Support legal workflows including document production and records management
• Work with legal documents such as briefs, filings, depositions, closing binders, and transcripts
• Assist with charge-back tracking for jobs, supplies, and hours
• Maintain confidentiality of time-sensitive legal documents
Copy, Print & Technology Support
• Operate high-volume copiers, scanners, fax machines, and postage meters
• Perform scanning, OCR, file naming, encryption, and FTP file transfers
• Format documents using Microsoft Office Suite and Adobe Acrobat Pro
• Clear paper jams, perform quality checks, and maintain equipment logs
Reception & Hospitality
• Provide receptionist desk coverage as needed
• Assist with conference room setup, scheduling, and organization
• Support hospitality and executive-level customer service
Facilities & General Support
• Assist with office moves, box moves, and light facilities tasks
• Stock and organize copier and supply areas
• Perform occasional cleaning and light maintenance duties
• Support offsite trials by coordinating equipment, labor, and supplies

Qualifications
• High School Diploma or GED required
• 1–2 years of related work experience required
• Minimum of 2 years’ experience in the legal industry preferred
• Strong customer service, communication, and interpersonal skills
• Valid driver’s license and required auto insurance may be needed per RICOH policy

Knowledge, Skills & Abilities
• Knowledge of shipping and receiving procedures
• Familiarity with legal technologies and document management systems (e.g., Copitrak, Equitrac)
• Basic electronics knowledge preferred
• Ability to work independently and manage tight deadlines
• Strong troubleshooting and problem-solving skills
• Excellent verbal communication and customer relations skills
• Ability to read and understand technical manuals and written instructions

Working Conditions & Physical Demands
• Frequent exposure to copier noise, toner, and varying room temperatures
• May require walking between buildings and exposure to weather conditions
• Frequent standing, walking, bending, reaching, and lifting up to 50 lbs
• Occasional pushing or pulling equipment weighing up to 400 lbs
• High-pressure environment with quick turnaround times
• Possible overtime, nights, weekends, and emergency off-hour support
