Position Overview
Job Summary
We are seeking a polished and professional Legal Receptionist / Office Coordinator to support a fast-paced law firm environment. This role serves as the face of the office, providing exceptional customer service while managing front desk operations, calls, scheduling, and administrative support.
Key Responsibilities
Greet and assist visitors, clients, and employees with a professional demeanor
Answer and route incoming calls following established phone etiquette
Schedule and prepare conference rooms (supplies, beverages, AV setup)
Maintain visitor security protocols and front desk operations
Manage calendars, appointments, and meeting coordination
Perform light clerical and administrative duties (filing, document prep)
Provide hospitality services (coffee, water, catering coordination)
Maintain cleanliness and organization of lobby and workspace
Order and manage office supplies
Act as a concierge for clients and guests
Build strong relationships with internal teams and clients
Qualifications
High School Diploma required (Associate/Bachelor’s preferred)
2–3+ years of customer service, receptionist, or administrative experience
Law firm or corporate office experience preferred
Strong knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)
Excellent communication and organizational skills
Ability to multitask and work in a fast-paced environment
Professional, friendly, and proactive attitude
Dress Code (Strict – Business Professional)
Collared shirts, blouses, trousers, skirts, or dresses
No jeans, t-shirts, sneakers, sandals, or casual wear
No large logos, graphics, or inappropriate messaging
Fragrance-free environment (non-scented products only)
Physical Requirements
Primarily sedentary with occasional standing, walking, bending
Ability to lift up to 50 lbs (assistance provided when needed)
