OA Reference: Legal On-Site Service Specialist
We are seeking a Document Services & Site Operations Specialist to support a professional legal office in Bellevue, WA. This is a full-time, temporary assignment ideal for candidates with strong scanning and document-handling skills who are comfortable managing site operations independently.
The primary focus of this position is backfile scanning of legal documents, with additional responsibilities in reception and hospitality support. While the site includes other client personnel, this position will operate as a single-person site role, requiring initiative, organization, and professionalism.
Key Responsibilities
Document Services (Primary Focus):
Prepare physical documents for scanning (removing staples, sorting, organizing).
Operate advanced scanning equipment to digitize legal records.
Conduct quality control checks to ensure accuracy and completeness of scanned files.
Label and organize boxes for storage or shipment after scanning.
Handle sensitive legal records with discretion, ensuring compliance with firm protocols.
Work with legal-specific systems and processes, including closing binders, depositions, charge-back systems, and court delivery protocols.
Reception & Hospitality (Secondary Focus):
Welcome visitors and provide concierge-level service.
Prepare and schedule meeting rooms, including supplies, beverages, and tech setup.
Answer incoming calls and assist with general clerical tasks.
Maintain a professional, organized lobby and workspace.
Support light hospitality needs such as coffee, water, catering, and supply ordering.
Build strong working relationships with partners, paralegals, and legal staff while maintaining discretion and professionalism.
Qualifications
High school diploma or GED required.
2+ years of experience in a related field; legal industry experience strongly preferred.
Skilled in operating advanced scanning equipment and handling complex document projects.
Strong organizational, time management, and independent problem-solving skills.
Professional communication skills with the ability to interact with executive-level clients.
Familiarity with legal terminology, document handling standards, and procedures.
Ability to manage site operations independently, including reporting and compliance.
Experience supporting trial preparation (equipment, labor, supplies) is a plus.
Additional Information
Reports directly to the Area Manager, Operations.
May assist with invoicing and month-end reporting.
Must be comfortable working under tight deadlines with highly confidential materials.
