OA Reference: Legal Administrative Assistant
Our Client is seeking a highly skilled and detail-oriented Legal Administrative Assistant to provide comprehensive administrative and legal support to attorneys and paralegals. This role is essential to the daily operations of our practice and requires someone who is proactive, organized, and experienced in the demands of a legal environment.
This is not an entry-level role. Only candidates with 2–4 years of direct legal administrative experience will be considered. Because this position is 100% onsite, applicants must currently live within a commutable distance to downtown Seattle.
Key Responsibilities
Legal & Administrative Support
Prepare, edit, proofread, and format legal documents including pleadings, motions, discovery materials, agreements, and correspondence
Manage attorney calendars, schedule meetings, coordinate deadlines, and track critical dates
Assist with state and federal court filings, including e-filing and physical submissions
Maintain and organize case files (physical and electronic) in accordance with firm protocols
Support paralegals with document production, discovery organization, and file preparation
Draft routine correspondence and assist with document revisions
Client & Office Coordination
Serve as a professional point of contact for clients, opposing counsel, and internal staff
Answer and route calls, manage incoming/outgoing mail, and coordinate conference rooms
Assist with client intake, meeting preparation, and general office operations
Handle confidential information with discretion and professionalism
Billing & Operational Support
Assist with attorney time entry, billing edits, and monthly invoice preparation
Track expenses, process reimbursements, and support administrative workflows
Ensure compliance with firm procedures and contribute to process improvements
Required Qualifications:
These qualifications are mandatory. Candidates who do not meet them will not be considered.
2–4 years of experience in a law firm or legal department
Direct experience supporting attorneys and/or paralegals
Strong understanding of legal terminology, court procedures, and document formats
High proficiency with Microsoft Office (Word, Outlook, Excel) and legal document management systems
Experience with Washington state and federal e-filing systems
Familiarity with billing and timekeeping software
Ability to manage multiple deadlines in a fast-paced environment
Exceptional attention to detail, grammar, and document accuracy
Strong written and verbal communication skills
Ability to work onsite Monday–Friday
Must be local to the Seattle area and able to commute reliably
