We are seeking a detail-oriented Human Resources Administrative Assistant for a direct hire opportunity in Portland, OR, supporting HR operations within the industrial facilities and infrastructure construction industry. This on-site role is ideal for an HR professional who enjoys administrative accuracy, employee onboarding, compliance support, and working closely with a collaborative human resources team.
The Human Resources Administrative Assistant will play an important role in supporting field employee onboarding, HR documentation, employment verification, drug-free workplace program administration, and day-to-day HR department needs. Key Responsibilities
- Coordinate and assist with new hire orientation paperwork for field employees.
- Enter field new hire information into HRIS and business systems, including UKG and Spectrum.
- Complete background checks, E-Verify processing, employment verifications, and related HR documentation.
- Maintain HR records by processing, scanning, and controlling confidential employee documents.
- Provide administrative support for the Drug Free Workplace Program, employee recognition programs, awards, and special HR projects.
- Perform general clerical support for the HR department and provide receptionist backup as needed.
Compensation and Benefits
- Direct hire opportunity.
- Salary range: $58,000.00 to $61,000.00 per year.
- Location: Portland, OR.
- Work arrangement: On-site.

Required Qualifications and Skills
- Support field employee onboarding, orientation paperwork, and new hire administration.
- Maintain HR documentation, employee records, and HRIS data accuracy.
- Assist with compliance-related HR processes, including background checks, E-Verify, employment verifications, and drug-free workplace program support.
- Provide administrative and clerical support for HR programs, employee recognition, and special projects.
- 3 to 5 years of relevant administrative or human resources experience preferred.
- Working knowledge of business and human resource practices, typically gained through at least 2 years of HR experience and/or related education.
- Knowledge of onboarding processes, HR policies, employee documentation, and general HR practices.
- Proficiency with Microsoft Office.
- Experience using HRIS systems, with UKG and Spectrum experience helpful.
- Strong attention to detail, accuracy, organization, and analytical skills.
- Ability to maintain safe work practices and safeguard confidential company and employee information.
- Excellent written and verbal communication skills.
- Strong interpersonal skills with the ability to work effectively with diverse employees and personalities using tact, professionalism, and flexibility.
Preferred Qualifications
- Experience working in a union environment is helpful.
- Experience supporting field employees in a construction, industrial, infrastructure, or similar operations-based environment.
- Familiarity with drug-free workplace program administration and compliance-related HR processes.
