Job Summary

We are seeking a detail-oriented HR Assistant for a direct hire opportunity in Sebastopol, CA within the healthcare services industry. This role serves as a key administrative point of contact for Human Resources functions, supporting onboarding, HRIS administration, employee file compliance, clinical credentialing coordination, workers' compensation claims, payroll support, and general HR operations.

Key Responsibilities

- Maintain and update HRIS records, employee files, and compliance documentation, including status changes, new hires, terminations, tax updates, deductions, and address changes.
- Manage onboarding for new hires, students, volunteers, outside contractors, providers, fellows, interns, externs, and trainees.
- Coordinate and conduct new hire orientation, including paperwork, compliance training, onboarding schedules, and orientation materials.
- Support bi-monthly timesheet and payroll processes, including compiling payroll reports as needed.
- Serve as the main contact for the clinical credentialing vendor and help ensure licensure and compliance documents remain current.
- Lead workers' compensation claim administration, including paperwork, reporting, tracking, and related follow-up.

Compensation and Benefits

- Pay range: $28.00 to $30.00 per hour.
- Job type: Direct hire.
- Location: Sebastopol, CA.



Required Qualifications and Skills

- Manage HRIS updates, employee file compliance, onboarding documentation, and employee status changes.
- Coordinate new hire orientation, compliance training, onboarding schedules, and HR administrative workflows.
- Support payroll reporting, timesheet processes, credentialing documentation, workers' compensation claims, and benefits administration.
- Assist employees and leadership with HR policy, payroll, employment verification, ergonomic evaluation, and general HR questions.

- 2 to 3 years of HR or administrative experience required.
- Experience maintaining confidential employee records and handling HR documentation with accuracy and discretion.
- Strong technology skills, including Microsoft Office, Smartsheet, virtual meeting platforms such as Zoom or Microsoft Teams, and HRIS or payroll systems.
- Excellent verbal and written communication skills.
- Strong interpersonal, organizational, analytical, and follow-up skills.
- Ability to work independently with minimal supervision while collaborating effectively with a multidisciplinary team.
- Ability to manage shifting priorities with flexibility, professionalism, enthusiasm, and a positive attitude.
- Commitment to compliance with federal, state, and local employment laws, regulations, and internal policies.
- Customer service-oriented approach with a strong commitment to confidentiality, accuracy, and high standards.

Preferred Qualifications

- Prior HR experience in healthcare services, clinical operations, nonprofit, or highly regulated environments.
- Experience with clinical credentialing, licensure tracking, workers' compensation administration, or benefits support.
- Familiarity with onboarding providers, trainees, students, interns, volunteers, or contractors.
- Comfort learning new HR technology platforms, payroll systems, and compliance tracking tools.
