About the Role
We are seeking a detail-oriented and proactive HR Assistant to support daily human resources operations and enhance the overall colleague experience. This role provides hands-on support across onboarding, compliance, benefits administration, HRIS management, reporting, and employee engagement initiatives.
This is a temp-to-hire, fully onsite opportunity ideal for candidates who enjoy working in a collaborative office environment and supporting multiple HR functions in a fast-paced setting.
Key Responsibilities
Onboarding & Offboarding
Coordinate onboarding activities to ensure a compliant and positive new-hire experience, including I-9 verification
Process separation documentation and schedule offboarding meetings
Ensure onboarding and offboarding data accuracy and reporting consistency
HRIS & Reporting
Maintain employee records and data integrity within Paylocity
Prepare recurring and ad-hoc HR reports to support compliance and internal KPIs
Benefits, Leaves, Workers’ Compensation & Compliance
Support benefit enrollment for new hires and open enrollment periods
Submit and respond to unemployment claims in a timely manner
Manage COBRA notifications, leaves of absence, workers’ compensation claims, and DMV Pull Notices
Maintain workers’ compensation documentation, OSHA logs, postings, and safety communications
Colleague Experience & Engagement
Support employee engagement initiatives, surveys, programs, and internal events
Update content on the People page of the company intranet
Provide responsive support through the People Support Office (PSO) inbox
Audits, Projects & General HR Support
Gather and organize documentation for audits and payroll requests
Track mandatory training completion and assist with process improvement initiatives
Provide administrative support to the Senior People Business Partner and HR leadership
Virtual Assistant Management
Coordinate onboarding and offboarding of virtual employees, including IT access and Paylocity updates
Update compensation rates as needed
Office & Administrative Support
Process incoming mail
Enable and disable corporate key fob access
Prepare and send swag bags for new hires
Respond to employment verification requests
Manage business card and name tag orders
Qualifications
2+ years of HR or administrative experience; benefits and engagement experience preferred
High school diploma or equivalent required; Associate degree or HR certification a plus
Working knowledge of federal and state employment laws (California experience strongly preferred)
Proficiency in Microsoft Office Suite, Teams, and HRIS platforms (Paylocity experience a plus)
Advanced Excel skills preferred
Bilingual Spanish preferred
Strong organizational, communication, and time-management skills
Ability to manage multiple priorities with accuracy and professionalism
