HR & Accounting Support Specialist

Job Overview
We are seeking a highly organized and detail-oriented Accounts Payable & HR Administrative Coordinator to support our finance and administrative operations for two related construction companies. This role blends accounts payable, HR onboarding, administrative support, and payroll/labor compliance backup responsibilities. The ideal candidate will have hands-on construction AP experience, strong job-costing knowledge, and the ability to assist with HR documentation, employee communication, and office support tasks. Prior experience with DoD bids, military base badging, or government compliance is a plus.
Key Responsibilities
Accounts Payable
Process and manage all AP transactions, including invoice verification, coding, and payment processing.
Review invoices for accuracy, completeness, and proper supporting documents.
Maintain accurate vendor records, lien waivers, insurance certificates, bonds, and contract documents.
Utilize QuickBooks; experience with Procore, Textura Payment Management, and construction job-cost accounting preferred.
Reconcile credit card statements and support project cost tracking.
Ensure AP aging, AR reports, and job-cost reports balance with the general ledger.
Enter financial paperwork such as change orders, subcontractor pay apps, and cost adjustments.
Support month-end closing tasks and reporting as directed by the Controller.
HR & Onboarding Support
Assist with new hire onboarding, including collecting IDs and I-9 documentation, ensuring HR compliance, and maintaining employee files.
Track employee certifications, badges, renewals, and required documentation for job sites.
Communicate with employees regarding missing documents, HR updates, and general inquiries.
Support HR with tracking attendance, employee status changes, and compliance documentation.
Assist with labor compliance requirements as needed.
Administrative & Office Support
Provide front office support, including answering phones, filing, scanning, and maintaining organized records.
Assist with general administrative tasks and cross-department communication.
Support internal departments with documents, reports, and project coordination needs.
Payroll & Labor Compliance Backup
Provide backup support for payroll processing as needed.
Assist with collecting timecards, reviewing hours, and maintaining labor compliance documents.
Additional Preferred Experience
Experience preparing documentation for DoD bids or working on base projects.
Ability to obtain military base access and support badge processing for employees.
Education, Experience & Skills
3+ years strong AP experience in construction is required.
Associate’s or bachelor’s in Accounting, Business, or related field preferred (or equivalent experience).
Proficiency in QuickBooks and Excel; familiarity with Procore and Textura is a plus.
Experience with HR onboarding, employee documentation, and compliance tracking.
Strong communication skills and ability to work both independently and collaboratively.
Exceptional attention to detail, accuracy, and organization in a fast-paced environment.
Ability to manage multiple tasks and deadlines with professionalism.
