Position Summary
We are seeking a Staff Accountant to join a fast-growing construction organization. This is a hands-on, high-impact role for someone who wants to be deeply involved in day-to-day operations and support continued growth. This position goes beyond routine accounting duties and plays a central role in keeping financial operations accurate, timely, and organized.
Key Responsibilities
Accounts Payable
Vendor setup, including collection of W-9s
Enter payments made via ACH, check, and credit card into QuickBooks and invoice log
Submit issued checks for positive pay processing and serve as backup for this function
Maintain payment calendar and ensure timely payments
Complete invoice coding sheets and obtain required approvals
Manage full-cycle accounts payable and ensure accurate vendor payments
Issue checks and submit for Accounting Manager approval
Cash Receipts
Record daily cash receipts in accounting system and invoice log
Send daily collection updates to leadership
Prepare weekly deposits
Reconcile invoice log to accounting system weekly
Billings and Collections
Prepare weekly invoices, including hours for monthly billings
Prepare weekly and monthly billings per contract terms
Submit invoices via email and client payment platforms such as Textura or GC Pay
Proactively follow up on payments and report accounts receivable status weekly
Prepare weekly accounts receivable aging reports
Save pending sales reports and invoices monthly
Prepare conditional and unconditional lien waivers for management approval and notarization when required
Payroll
Process weekly payroll for 200+ employees across multiple job sites and entities
Handle final, additional, correctional, and replacement checks
Import payroll journal entries into QuickBooks
Upload payroll to positive pay
Process employee expense reports
Set up new employees in payroll and accounting systems
Update pay rates and payroll deductions as needed
Print, stuff, and mail payroll checks and ACH stubs as backup
General Accounting and Office Support
Customer and job setup in accounting, payroll, and internal systems
Monitor accounting inboxes
Participate in one-on-one meetings, department meetings, and staff meetings
Perform daily bank reconciliations
Prepare and distribute weekly labor and jobsite reports to management
Create and update documentation for accounting procedures
Assist with reporting requests and special projects as assigned
Skills and Experience
3 to 5 years of professional accounting experience, construction accounting preferred
Strong problem-solving skills with a process improvement mindset
Proficiency in QuickBooks, payroll systems, and Microsoft Office
Excellent organizational, communication, and interpersonal skills
