OA Reference: Front Office Administrator
The Front Office Administrator supports day-to-day office operations, provides administrative support to multiple departments, and ensures a positive, polished experience for employees, guests, and clients. This role requires excellent communication skills, a high level of professionalism, and the ability to juggle multiple tasks in a fast-paced environment.
Key Responsibilities
Front Desk & Customer Service
Serve as the first point of contact for visitors, employees, clients, and vendors
Answer, screen, and route incoming calls and emails in a timely, professional manner
Greet visitors and manage check-in/check-out procedures
Maintain a tidy and organized front desk, lobby, and shared office spaces
Office Administration
Manage incoming and outgoing mail, shipping, and deliveries
Schedule meetings, conference rooms, and office calendar items
Maintain office supplies, inventory, and equipment; coordinate vendor service as needed
Assist with onboarding tasks such as preparing welcome packets, desk setup, and scheduling training sessions
Administrative Support
Draft, proofread, and distribute correspondence, memos, and basic documents
Support team members with filing (digital and physical), data entry, and document organization
Assist with administrative projects (report preparation, document formatting, scheduling support)
Coordinate internal events, staff meetings, and company communications
Operational Support
Help maintain office policies, procedures, and organizational systems
Support HR, Finance, or Operations teams with occasional administrative tasks
Provide logistical support during audits, staff meetings, or companywide initiatives
Troubleshoot minor office issues and escalate when necessary
Required Qualifications
1–3 years of front office, administrative, receptionist, or customer-service experience
Strong verbal and written communication skills
Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and general computer literacy
Excellent organization, time management, and attention to detail
Professional and friendly demeanor with strong customer-service orientation
Ability to juggle multiple tasks, prioritize, and maintain composure under pressure
Reliable, punctual, and comfortable working onsite
Preferred Qualifications
Experience supporting multiple departments or managers
Familiarity with office equipment (printers, phone systems, scanners)
Experience with scheduling tools, CRM systems, or shared calendars
Basic experience with data entry or recordkeeping
Interest in growing into office management, HR support, or operations roles
