Job Title: Fiscal & Grants Accounting Specialist

Employment Type: Full-Time (40 hours/week)
Pay Rate: $30.00/hour

Location: Orlando, FL 32817

Schedule:
Monday–Thursday: 8:00 AM – 4:30 PM
Friday: 8:00 AM – 2:00 PM (paid for 40 hours/week)

Benefits:
$200/month healthcare stipend
120 hours of accrued PTO annually (combined vacation & sick time)

Reports To: Executive Director / Director of Operations / Treasurer

Position Overview
We are seeking a detail-oriented Fiscal & Grants Accounting Specialist to oversee day-to-day financial operations and ensure compliance across all funding sources. This role plays a critical part in maintaining accurate financial records, processing payroll, and managing the full lifecycle of government grants—including invoicing, reimbursements, and reporting.

The ideal candidate is highly organized, experienced with QuickBooks, and confident working in a grant-funded or nonprofit environment.

Key Responsibilities
Accounting & Financial Management
Maintain accurate financial records using QuickBooks (Desktop or Online)
Record daily transactions and perform regular bank and credit card reconciliations
Manage accounts payable and receivable, including vendor payments and invoicing
Develop and monitor the organization’s operating budget
Prepare monthly, quarterly, and annual financial reports for leadership
Partner with development staff to ensure accurate tracking and reporting of donor funds

Grants Management & Compliance
Prepare and submit grant invoices and reimbursement requests in accordance with funding requirements
Track grant expenditures against approved budgets and identify variances
Maintain organized and audit-ready grant documentation (award letters, budgets, reports, etc.)
Support grant audits, closeouts, and required financial reporting
Ensure compliance with federal, state, and local regulations, including Uniform Guidance (2 CFR Part 200)

Payroll Administration
Process bi-weekly or semi-monthly payroll accurately and on schedule
Maintain payroll records, including PTO tracking and employee deductions
Prepare and file payroll tax reports (941, 940, state filings)
Issue annual W-2s and 1099s
Collaborate with HR on employee changes, onboarding, and compensation updates

Qualifications
Required
3+ years of hands-on QuickBooks experience (Desktop and/or Online)
Experience managing government grants, including invoicing and compliance reporting
Strong knowledge of payroll processing and payroll tax requirements
Proficiency in Microsoft Excel and standard office tools
Excellent attention to detail and ability to manage multiple priorities
High level of discretion when handling sensitive financial information

Preferred
Associate’s or Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience)
Familiarity with federal grant regulations (2 CFR Part 200 – Uniform Guidance)
Experience in a nonprofit, government, or grant-funded organization
Understanding of fund accounting principles
