Job Summary

We are seeking a detail-oriented Fiscal & Grants Accounting Specialist for a full-time direct hire opportunity in Orlando, FL with a mission-driven nonprofit charitable organization. This role is ideal for an accounting professional who enjoys accurate financial management, grant compliance, payroll administration, and supporting an organization that serves the community.

The Fiscal & Grants Accounting Specialist will manage day-to-day accounting operations, maintain financial records in QuickBooks, process payroll, and support government grant invoicing, reimbursement, reporting, and compliance. This is a strong opportunity for someone who wants to apply their accounting skills in a meaningful nonprofit environment with supportive leadership, collaborative teamwork, and visibility across finance, administration, operations, and executive leadership.

This position offers the opportunity to make a direct impact by helping ensure accurate financial reporting, responsible stewardship of grant funding, and smooth internal financial processes.

Key Responsibilities

- Maintain accurate financial records in QuickBooks Desktop or QuickBooks Online, including daily transactions, bank reconciliations, credit card reconciliations, and financial reporting.
- Manage accounts payable and accounts receivable, including vendor payments, client invoicing, donor-related reporting support, and contribution tracking coordination.
- Prepare and submit government grant invoices, reimbursement requests, financial reports, and supporting documentation in accordance with federal, state, and local funding requirements.
- Track grant expenditures against approved budgets, monitor variances, maintain organized grant files, and support audit and grant closeout activities.
- Process bi-weekly or semi-monthly payroll, maintain payroll records, track PTO and leave balances, and coordinate payroll changes with HR.
- Prepare payroll tax filings, support year-end W-2 and 1099-NEC processing, and generate monthly, quarterly, and year-end financial statements for leadership review.

Required Qualifications and Skills

- Manage day-to-day bookkeeping and accounting operations using QuickBooks.
- Handle government grant invoicing, reimbursement submissions, reconciliations, and compliance reporting.
- Process payroll and related payroll tax filings accurately and on time.
- Support budgeting, financial statements, grant audits, and year-end financial processes.

- 3+ years of hands-on experience with QuickBooks Desktop and/or QuickBooks Online.
- Demonstrated experience with government grants, including invoicing, reimbursement requests, expenditure tracking, and compliance reporting.
- Solid understanding of payroll processing, payroll tax filings, W-2s, 1099-NEC forms, and related regulations.
- Proficiency in Microsoft Excel and standard office productivity tools.
- Strong attention to detail with the ability to manage multiple deadlines and competing priorities.
- High degree of integrity, discretion, and professionalism when handling confidential financial information.
- Ability to communicate effectively with leadership, HR, development staff, vendors, funders, and internal stakeholders.

Preferred Qualifications

- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field, or equivalent work experience.
- QuickBooks ProAdvisor certification.
- Familiarity with federal grant regulations, including 2 CFR Part 200, Uniform Guidance.
- Experience working in a nonprofit, government, or grant-funded organization.
- Knowledge of fund accounting principles.
