Firm Administrator – Law Firm Experience Required

Downtown Orlando, FL | Hybrid Schedule After Training

$85,000–$90,000+ DOE | Full Benefits | 401(k) | PTO

A well-established civil litigation and appellate law firm in downtown Orlando is seeking an experienced Firm Administrator to oversee the day-to-day operations of the firm. This is a high-impact leadership role responsible for managing accounting, HR administration, payroll, vendor relations, office operations, legal billing support, recruiting coordination, and compliance functions.
The ideal candidate will have prior law firm administration experience, strong organizational skills, and the ability to manage multiple operational priorities in a fast-paced professional environment.

Responsibilities
Manage firm accounting functions including bank reconciliations, trust account processing, AP/AR, payroll journal entries, and credit card reconciliations
Process payroll, maintain employee records, and oversee onboarding/offboarding processes
Administer benefits and compliance functions including ACA deadlines, 401(k) processing, Employee Navigator updates, and annual vendor 1099s
Monitor accounts receivable and process invoice write-offs as needed
Coordinate with attorneys and staff regarding billing setup, client/matter maintenance, and conflict checks
Process settlement checks, deposits, and trust disbursements
Maintain vendor relationships and oversee office operations including supplies, office equipment, courier services, shredding, telecom, and building maintenance requests
Manage recruiting coordination including posting jobs, communicating with recruiters, reviewing resumes, and scheduling interviews
Maintain attorney licensing and business tax receipt compliance
Update internal systems including phone systems, copy/scanner access, and employee software access
Handle annual filings and compliance requirements including Sunbiz annual reports and census surveys
Support firm leadership with administrative and operational initiatives as needed

Qualifications
Previous law firm administration experience is required
Strong knowledge of legal accounting, payroll, billing, and HR administration
Experience handling trust accounts and legal financial operations preferred
Proficiency with Microsoft Office and legal/accounting management systems
Excellent organizational skills with the ability to prioritize and manage deadlines independently
Professional communication skills and high attention to detail
Experience supporting attorneys and managing office operations in a professional services environment
