Finance Specialist/Bookkeeper

We are seeking a detail-oriented and versatile On-site Finance Specialist/Bookkeeper to support our financial operations and office needs. This role reports directly to the Director of Finance and is responsible for accounts payable/receivable, reconciliations, payroll support, compliance, and general office assistance. The ideal candidate will be proficient in QuickBooks, highly organized, and comfortable managing multiple responsibilities in a fast-paced, collaborative environment.

Primary Responsibilities
Accounts Payable & Receivable
• Monitor and manage accounts receivable, including preparation of invoices and processing cash receipts.
• Process accounts payable and manage vendor relationships.
• Prepare and file annual Form 1099s for vendors.
Banking & Reconciliations
• Perform bank reconciliations and prepare journal entries.
• Record deposits and merchant fees.
• Reconcile company credit cards, intercompany accounts, and revenue across systems (CRM vs. QuickBooks).
Payroll & Compliance
• Assist with payroll processing and related journal entries.
• Support preparation and filing of basic payroll tax documents.
• Ensure compliance with local, state, and federal employment, labor, tax, and health regulations.
• File appropriate documents and registrations with regulatory agencies.
Financial Reporting & Audit
• Assist in preparing required financial documentation.
• Prepare specialized reports and financial analyses as needed.
• Assist in audit preparation and documentation.
• Maintain accurate fixed asset and inventory records; supervise annual inventory counts.
General Office Support
• Assist with other finance-related tasks and projects as assigned.
• Collaborate with internal teams to ensure efficient financial operations.
• Support facilities needs, such as coordinating repairs, ordering office materials, or managing service calls.
• Prepare and print letters, reports, and other correspondence.

Essential Skills & Attributes
• Strong proficiency in QuickBooks and Microsoft Office (Excel, Word).
• Excellent written and verbal communication skills.
• Detail-oriented with a high degree of accuracy.
• Analytical problem-solving ability and independent decision-making.
• Ability to manage multiple priorities in a fast-paced environment.
• Professional integrity, confidentiality, and trustworthiness.

Education & Experience Requirements
• Associate’s degree in accounting or related field required; Bachelor’s preferred.
• Minimum three (3) years’ experience in a finance or accounting role.
• Proficiency in QuickBooks and Microsoft Office Suite (especially Excel).
