We are seeking a Finance Specialist to support daily financial operations, including accounts payable/receivable, reconciliations, payroll support, and financial compliance. This role reports directly to the Director of Finance and requires strong QuickBooks skills, excellent attention to detail, and the ability to manage multiple priorities with minimal supervision.

Responsibilities:

Monitor and manage accounts receivable, including preparing invoices and processing cash receipts
Process accounts payable and maintain vendor relationships
Prepare and file annual Form 1099s
Perform bank reconciliations and prepare related journal entries
Record bank deposits and merchant fees
Reconcile company credit cards, intercompany accounts, and revenue across systems (CRM vs. QuickBooks)
Assist with payroll processing and related journal entries
Support preparation and filing of payroll tax documents
Ensure compliance with federal, state, and local employment, labor, tax, and health regulations
File required documents and registrations with regulatory agencies
Assist in preparing required financial documentation
Prepare specialized reports and financial analyses
Support audit preparation and documentation
Maintain accurate fixed asset and inventory records and oversee annual inventory counts
Assist with additional finance-related tasks and projects as assigned
Collaborate with internal teams to ensure efficient financial operations

Requirements

Associate’s degree in Accounting or a related field required; Bachelor’s degree preferred
Minimum of 3 years of experience in a finance or accounting role
Strong proficiency in QuickBooks and Microsoft Office (Excel, Word)
Excellent written and verbal communication skills
High attention to detail and accuracy
Strong analytical and independent problem-solving abilities
Ability to manage multiple priorities in a fast-paced environment
Knowledge of nonprofit financial compliance is a plus
Professionalism, integrity, confidentiality, and strong teamwork skills
