Job Title: Facilities Coordinator

Reports To: Client Services Supervisor/Manager
Position Overview:
We are seeking a motivated and adaptable individual to join our team as a Facilities Coordinator. This role is responsible for coordinating maintenance requests, office moves, vendor services, inventory tracking, and general facilities support while ensuring a safe, organized, and professional workplace.
Schedule & Pay:
• Monday to Friday: 8:00 AM to 5:00 PM
• Pay rate: $23.72/hr
Responsibilities
• Coordinate and prioritize facilities service requests and work orders through systems such as ServiceNow or similar platforms
• Partner with vendors, building engineers, and property management for maintenance and repair services including HVAC, plumbing, electrical, lighting, furniture, and appliances
• Support office moves and workstation setups, including light furniture moving, desk packing, and post-move coordination with IT and movers
• Perform minor furniture adjustments and basic repairs using hand tools
• Assist with space planning, floor plan updates, occupancy tracking, and facilities reporting using Excel and AutoCAD
• Monitor inventory levels, track deliveries and backorders, and assist with invoice and expense documentation
• Conduct routine office walkthroughs to identify cleanliness, maintenance, or safety concerns
• Provide administrative and customer support for facilities-related operations and projects
Qualifications
• High School Diploma or equivalent required
• Experience in facilities coordination, office services, workplace operations, or related support roles
• Experience coordinating with vendors, building engineers, and property management teams
• Knowledge of ticketing/work order systems such as ServiceNow
• Proficient in Microsoft Excel and basic reporting/documentation tools
• Basic knowledge of office furniture systems and minor repair work
• Strong communication, customer service, and organizational skills
• Ability to multitask, work independently, and collaborate within a team environment
• Comfortable working in a physically active role, including walking, standing, kneeling, lifting, pushing, and pulling up to 50 lbs, using ladders, and moving light furniture
