Job Summary
We are seeking an experienced Executive Assistant for a direct hire opportunity in Calabasas, CA. This role supports a CEO in a high-trust, fast-paced business environment where professionalism, discretion, organization, and sound judgment are essential.
The Executive Assistant will serve as a key coordination point across executive priorities, business operations, personal logistics, office management, and external advisor communication. Key Responsibilities
- Manage the CEO’s calendar, scheduling, meeting preparation, agendas, correspondence, presentations, briefing materials, and follow-up items.
- Coordinate complex domestic and international travel, including business, personal, and family travel, transportation, drivers, meetings, site visits, and events.
- Maintain organized business and personal records, including legal, real estate, financial, operational, investment, tax, insurance, and estate-related documents.
- Support personal scheduling, household operations, vendors, maintenance, service providers, and family logistics with a high level of discretion.
- Oversee day-to-day office operations, shared spaces, office supplies, vendor coordination, building management communication, storage, and administrative systems.
- Coordinate with internal leadership, external stakeholders, CPAs, attorneys, insurance brokers, investment professionals, and other service providers.

- Salary range: $80,000 to $90,000 per year.

- In-person role with occasional after-hours availability as needed.

Required Qualifications and Skills
- Manage executive calendar, scheduling, meeting preparation, priorities, deadlines, and follow-through for the CEO.
- Coordinate business, personal, and family travel, transportation, household operations, and detailed personal and professional arrangements.
- Support document organization and tracking for legal, real estate, financial, investment, insurance, tax, estate, and operational matters.
- Oversee office operations, administrative workflows, vendor coordination, receptionist support, leadership meetings, board activities, and company events.
- 7 to 10 years of executive assistant, senior administrative, or related experience.
- At least 5 years of experience supporting a CEO, founder, or C-level executive.
- Proven ability to manage a complex and frequently changing calendar with accuracy and urgency.
- Strong experience coordinating travel, logistics, household operations, vendors, and executive-level personal arrangements.
- Excellent written and verbal communication skills with strong attention to detail.
- High level of discretion, confidentiality, sound judgment, and professionalism.
- Ability to determine what can be handled independently, what requires input, and what should be escalated.
- Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Experience using standard business tools such as Teams, Zoom, PDF tools, shared drives, and digital filing systems.
- Ability to work in person in Calabasas, CA, with occasional after-hours availability as needed.
Preferred Qualifications
- Experience supporting a real estate, investment, or family office executive.
- Experience managing both business and personal responsibilities for a senior executive.
- Familiarity with legal, financial, investment, real estate, insurance, tax, or estate-related documents.
- Experience coordinating with external advisors, including CPAs, attorneys, insurance brokers, investment professionals, and service providers.
- Experience with complex travel planning, household operations, personal logistics, and high-touch executive support.
- Comfort using AI tools such as ChatGPT, Copilot, or Gemini for drafting, summarizing, organization, and productivity while understanding confidentiality limitations.
- Strong digital organization skills and experience maintaining organized tracking systems, shared drives, and records.
