Position Overview
We are seeking an experienced, adaptable, and forward thinking Executive Operations Assistant to support our CEO and leadership team in a dynamic, hybrid role. This position combines high level executive administrative support with hands on operational coordination, making it ideal for someone who thrives in a fast paced environment, enjoys problem solving, and excels at managing multiple priorities.
The ideal candidate is proactive, resourceful, and skilled at optimizing executive workflows while strengthening cross departmental operations. Experience in manufacturing is highly preferred.

Key Responsibilities
Executive Administrative Support
• Manage the CEO’s calendar, travel arrangements, meetings, and daily communications with professionalism, accuracy, and discretion.
• Prepare executive level presentations, board materials, and high impact reports.
• Coordinate leadership meetings, including agenda preparation, note taking, and follow up action tracking.
• Serve as a reliable liaison between the CEO and internal/external stakeholders.
Operations Management
• Partner with the CEO to identify opportunities for process improvement across departments.
• Monitor KPIs and assist with the development of operational dashboards and performance reports.
• Support vendor management, procurement activities, and contract coordination.
• Assist with budget tracking, invoice processing, and resource allocation for executive and operations related projects.
Project Coordination
• Lead or support cross functional projects designed to improve efficiency, service delivery, and overall company performance.
• Track milestones, deliverables, and deadlines to ensure timely and successful execution.
• Facilitate communication between teams to maintain project momentum and remove bottlenecks.
Internal Communications & Culture
• Support company wide internal communications and employee engagement initiatives.
• Assist in onboarding coordination for new leadership hires.
• Help plan company events, all hands meetings, celebrations, and recognition programs.

Qualifications
• 7+ years of executive administrative support and/or operations management experience.
• Exceptional organizational, communication, and multitasking skills.
• Advanced proficiency in Microsoft Office Suite, project management platforms, and CRM systems.
• Experience in manufacturing, kitchen & bath, home improvement, or construction industries is a strong plus.
• Bachelor’s degree in business, operations, or related field preferred.

Compensation
• Salary: $70,000–$80,000 annually, depending on experience.
