Executive Assistant – Audit Division

Location: San Juan, PR
Employment Type: Full-Time

Summary:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and executive support to the Audit Division, including five partners and their professional staff. This role will serve as a key liaison between management, clients, and internal departments, ensuring smooth daily operations and adherence to deadlines.

Key Responsibilities:

Provide high-level administrative support to the partners and audit team.

Coordinate schedules, meetings, travel arrangements, and conferences, optimizing partners’ time.

Draft, review, and track confidential correspondence, reports, and presentations.

Manage incoming communications and calls, prioritizing based on importance and urgency.

Organize and maintain physical and digital files, ensuring accuracy and accessibility of information.

Coordinate logistics for audits, client meetings, and internal department activities.

Follow up on pending tasks, deliverables, and ongoing projects to ensure deadlines are met.

Assist in the preparation of reports and documentation for internal or external reviews.

Handle all client and firm information with the highest level of confidentiality and professionalism.

Requirements:

Bachelor’s degree in Business Administration, Accounting, or a related field.

Previous experience as an executive or administrative assistant (experience in professional services firms preferred).

Excellent organizational, communication, and time management skills.

Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).

Ability to manage multiple priorities in a fast-paced, high-demand environment.

Strong attention to detail, discretion, and professionalism.
