Executive Assistant to the CEO needed for buy company in Calabasas. You will play a key role in supporting the CEO by managing daily operations, coordinating communications, and handling high-level administrative tasks. Working closely with internal teams and external partners, you will ensure the CEO’s time is optimized and priorities are met, enabling effective leadership and strategic decision-making across the organization.
Essential Job Functions:
• Maintain confidentiality and exercise sound judgment in all communications
• Manage the CEO’s calendar, prioritize meetings, and coordinate logistics
• Arrange complex travel itineraries (domestic/international) and prepare detailed agendas
• Draft and edit business correspondence, reports, and presentations
• Take meeting notes, track action items, and support project follow-through
• Conduct research and compile briefing materials for internal and external meetings
• Act as a liaison between the CEO and staff, clients, and vendors
• Create polished documents in Word, Excel, and PowerPoint
Experience:
• 2–5 years of experience supporting a senior executive, preferably a CEO or founder
• Background in a fast-paced, dynamic environment (startup, security, legal, or operations a plus)
• Experience handling confidential materials and working with high-level stakeholders
• Comfortable managing executive communications and preparing professional business documents
Specific or Additional Skills:
• Strong writing, editing, and communication skills
• Proficient in Microsoft Office Suite, Google Workspace, and virtual meeting tools (Zoom, Teams)
• Highly organized, detail-oriented, and able to prioritize multiple tasks
• Discretion, reliability, and a calm demeanor under pressure
• Tech-savvy and able to learn new tools and systems quickly
• Proactive and self-motivated with a strong sense of accountability
