Job Summary
We are seeking an experienced Event Specialist for a direct hire opportunity in Bothell, WA. This role is ideal for a highly organized event professional who enjoys bringing ideas to life, managing details, and creating seamless experiences for clients, attendees, speakers, and internal stakeholders.
The Event Specialist will plan, coordinate, and execute a variety of events, including seminars, client events, conferences, workshops, and special programs. Key Responsibilities
- Plan, coordinate, and execute seminars, conferences, client events, workshops, and other special events from concept through completion.
- Develop event timelines, logistics plans, project schedules, registration processes, and attendee communications to ensure a smooth event experience.
- Coordinate venues, catering, transportation, accommodations, audiovisual needs, entertainment, signage, presentations, and event materials.
- Source, negotiate with, and manage vendors, venues, caterers, speakers, and service providers to ensure quality, budget alignment, and timely delivery.
- Manage on-site event operations, including setup, guest check-in, speaker coordination, vendor communication, troubleshooting, and staff support.
- Track event budgets, evaluate event performance, gather attendee feedback, and recommend improvements for future events.

- Salary range: $70,000 to $80,000 per year.

Required Qualifications and Skills
- Plan and execute professional events, including client events, seminars, conferences, workshops, and special programs.
- Manage event timelines, logistics, registration, attendee communications, and on-site execution.
- Coordinate vendor relationships, venue requirements, event materials, travel logistics, and budget tracking.
- Support event marketing, promotional communications, branding, signage, and post-event reporting.
- 5+ years of professional event planning, event management, or event coordination experience.
- Experience coordinating vendors, venues, catering, audiovisual services, speakers, travel, lodging, and event logistics.
- Strong project management skills with the ability to manage multiple events, deadlines, and competing priorities.
- Ability to develop and manage event budgets, track expenses, negotiate pricing, and maintain accurate records.
- Excellent communication, organization, problem-solving, time management, and attention to detail.
- Proficiency with Microsoft Office Suite.
- Experience with CRM systems.
- Ability to work independently and collaboratively in a fast-paced environment.
- Valid driver’s license and reliable transportation.
- Ability to lift and carry up to 35 pounds.
- Ability and willingness to travel for events, including occasional overnight travel.
Preferred Qualifications
- Salesforce experience.
- Familiarity with Adobe Photoshop and Adobe InDesign.
- Experience creating or editing event-related marketing content.
- Experience supporting event promotion through email campaigns, social media, and other marketing communication channels.
