Accounting Specialist – AP / AR / Payroll Support
Full-Time | Onsite | Monday–Friday, 8:30 AM–5:30 PM
We are seeking a detail-oriented Accounting Specialist to support Accounts Payable, Accounts Receivable, and Payroll functions in a fast-paced, professional office environment. This role is responsible for maintaining accurate financial records, updating AP and AR sub-ledgers, and providing strong customer communication regarding billing and payments. The position is 100% onsite and works closely with the Accounting Manager to ensure timely and accurate accounting operations.
Key Responsibilities
Enter and update vendor invoices in Sage 50 within specified timeframes
Prepare payment checks and related reports; respond to vendor inquiries promptly and professionally
Enter sales invoices and distribute invoices to customers
Process daily cash receipts, including checks, wire transfers, cash, and miscellaneous payments
Perform bank and credit card reconciliations
Manage aged receivables by sending statements and communicating with customers via phone and email to collect payments
Assist the Accounting Manager with payroll processing, including verification of overtime and PTO
Maintain organized filing systems for vendor files and invoices; ability to carry boxes up to 10 lbs upstairs
Provide general office and event support for seminars or special projects as needed
Qualifications
Bachelor’s degree in Accounting required
3–5 years of experience in accounts payable, accounts receivable, or general accounting
Strong proficiency in Microsoft Word and Excel
Experience with Sage 50 preferred (training available)
Excellent interpersonal, communication, and customer service skills
High attention to detail with the ability to meet deadlines
