Overview:
We are seeking a highly organized and detail-oriented Dispatcher to join our team. The Dispatcher will be responsible for planning and coordinating the pick-up and delivery of materials to and from customers. This role involves scheduling drivers based on their available hours of service while considering customer requirements, future needs, and any requested leave time. The Dispatcher will ensure the completion of dispatches in time, documenting and addressing any deficiencies that arise.
Key Responsibilities:
Support EHS&S Program: Actively participate in the Environmental, Health, Safety, and Sustainability (EHS&S) program, ensuring adherence to policies and best practices.
Endorse Safety Program: Promote and enforce the company’s safety program, rules, and policies to ensure a safe working environment.
Maintain Awareness of Policies and Risks: Stay informed about company policies, potential hazards/risks, emergency response procedures, and preparedness plans.
Customer Order Management: Collect and document customer orders, whether presented verbally or electronically, to ensure accurate and timely dispatch.
Coordinate Dispatches: Assign qualified drivers and appropriate equipment to meet customer needs while complying with federal regulations and any restrictions.
Data Entry and Documentation: Enter dispatched orders into the computer system, assign drivers and equipment, and print corresponding bills of lading to ensure complete and accurate records.
Effective Communication: Notify affected parties (including operations personnel, management, the billing department, and the safety department) of any changes, unusual requests, or occurrences related to dispatches.
Conduct Equipment Checks: Perform routine equipment checks manually or electronically to verify that all vehicles and equipment are properly staged or en route as per the scheduled dispatch.
Ensure Compliance with Federal Regulations: Be familiar with and maintain equipment records to ensure that vehicles are inspected and tested in compliance with federal regulations. Coordinate with maintenance personnel for inspections and testing as needed.
Data Entry Competency: Demonstrate proficiency in performing data entry functions related to dispatch operations and customer order management.
Customer Relations: Handle customer relations duties to facilitate the effective completion of order-taking functions and address any concerns or issues related to the dispatch process.
Qualifications:
High school diploma or equivalent; additional certification or training in logistics or transportation management is a plus.
Proven experience in a dispatcher role or in a similar position within transportation, logistics, or supply chain management.
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
Excellent communication skills, both written and verbal, to collaborate with customers, drivers, and internal teams.
Strong computer skills with the ability to efficiently enter and manage data in dispatch systems.
Knowledge of federal regulations related to transportation and safety is highly preferred.
Ability to work in a fast-paced environment and adapt to changes in customer requirements or operational needs.
Ability to maintain a high level of accuracy and attention to detail in all tasks.
