Position Summary:
The Desk Clerk is responsible for providing front-desk support and administrative services in a professional, courteous, and efficient manner. This role serves as the first point of contact for visitors, clients, and staff, ensuring a welcoming environment and smooth daily operations.
Key Responsibilities:
Greet visitors, guests, or customers in person or over the phone in a professional and friendly manner.
Answer and direct phone calls, take messages, and respond to inquiries as appropriate.
Check in and check out guests or clients, issue keys or visitor passes, and maintain accurate logs.
Maintain front desk security and access control by monitoring visitor access and issuing badges.
Receive, sort, and distribute incoming mail and packages; manage outgoing mail and deliveries.
Maintain a clean, organized, and welcoming reception area.
Schedule appointments and meetings, and maintain calendars for staff or management.
Assist with basic administrative tasks such as filing, photocopying, scanning, and data entry.
Process payments, prepare receipts, and maintain basic financial records (if applicable).
Communicate effectively with other departments to ensure seamless customer service and coordination.
Handle customer concerns or complaints calmly and refer complex issues to the appropriate personnel.
Qualifications:
High school diploma or equivalent required.
Prior experience in a customer service or administrative support role preferred.
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Ability to multitask and remain calm under pressure.
Proficient in basic computer skills, including Microsoft Office Suite and office equipment.
Dependable, punctual, and professional in appearance and demeanor.
