Job Title: Receptionist / Customer Service Administrator
Location: Santa Barbara, CA
Job Type: Full-time/Part-time/Contract
Salary: $18 - $22 per hour

Job Summary:
We are seeking a professional, friendly, and highly organized Receptionist / Customer Service Administrator to be the welcoming face and voice of our company. This role is a vital part of our team, responsible for creating a positive first impression for all visitors and callers while providing essential administrative support to our staff. The ideal candidate will have excellent communication skills, a positive attitude, and the ability to manage multiple tasks with efficiency and a smile.

Key Responsibilities:

Front Desk Management: Greet and welcome all visitors, clients, and vendors in a professional and courteous manner. Manage the reception area to ensure it is tidy, organized, and presentable at all times.

Communication: Answer and direct incoming calls on a multi-line phone system, taking detailed messages and routing calls to the appropriate department. Handle all incoming and outgoing mail and packages.

Customer Service: Address customer inquiries, concerns, and requests via phone, email, and in-person. Provide accurate information and solutions, escalating issues to the appropriate team members when necessary.

Administrative Support: Perform a variety of administrative tasks, including scheduling appointments, managing calendars, organizing meetings, and preparing documents, reports, and presentations.

Office Operations: Assist with maintaining office supplies, coordinating with vendors, and supporting general office operations to ensure a smooth work flow.

Data Entry: Maintain and update customer databases, contact lists, and other records with a high degree of accuracy.

Coordination: Support various departments and team members with administrative projects as needed.

Qualifications:

Experience: Proven experience in a receptionist, administrative, or customer service role.

Education: High school diploma or equivalent; an associate's or bachelor's degree is a plus.

Skills:

Exceptional verbal and written communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.

Strong organizational and time-management skills with the ability to prioritize tasks effectively.

A high level of professionalism and a friendly, approachable demeanor.

Ability to work independently and as part of a team.

Familiarity with CRM software or other customer management systems is a plus.
