Our client is seeking a Corporate Office Coordinator.
The Office Coordinator provides high-quality administrative and operational support to senior financial leadership and the corporate team, helps ensure the day-to-day effectiveness of the corporate office, and collaborates effectively with teams across the organization.
This role is responsible for maintaining organization, supporting workflow execution, and ensuring that tasks, including a variety of administrative functions ranging from executive scheduling to general office coordination, are completed accurately and on time.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Executive Administrative Support
• Support calendar, scheduling, and meeting coordination. Prepare meeting agendas and assist with follow-up on action items
• Draft correspondence, emails, and basic reports
• Maintain organized digital and physical files
• Handle confidential information with discretion
Communication & Coordination
• Coordinate internal and external communications on behalf of senior financial leadership
• Assist with preparing materials for meetings, presentations, and general updates
• Support basic document preparation and formatting
Office Coordination
• Order and maintain office supplies and materials
• Coordinate office activities, events, and meetings (including team events and office gatherings)
• Handle incoming and outgoing mail and deliveries
Administrative & Operational Support
• Prepare various vendor payment approvals as assigned
• Assist with document distribution, mailings, and general administrative tasks
• Run occasional errands as needed for the corporate office
• Support various administrative needs across departments when required
• Maintain task lists and ensure timely completion of assignments
General Support
• Assist with special projects and assignments as requested
• Provide flexible support based on business needs
• Help ensure the corporate office operates efficiently and professionally
Education
• College degree preferred but not required
• Equivalent experience will be considered

3–5 years of administrative, office coordination, or similar experience
Experience supporting senior staff or executives preferred
Experience supporting finance or accounting processes is a plus
